The Prince Albert Grand Council is accepting applications for the position of Administrative Assistant for the PAGC Main Office.
This competition is open only to PAGC First Nation Members and permanent employees of the Prince Albert Grand Council.
Position Summary
Under the supervision of the Director of Human Resources, Director of Finance and Executive Director, the Administrative Assistant performs a variety of administrative and clerical duties in support of the Human Resources, Finance and Executive Offices.
The position provides administrative support for office operations, including correspondence, records management, scheduling, meetings, appointments and confidential documentation. The position will also provide administrative support for recruitment and selection processes, including preparing interview packages and materials, coordinating interview schedules, communicating interview details, organizing interview documentation and providing other administrative assistance related to competitions.
Employees in this position are expected to consistently exercise initiative, responsibility, discretion and sound working knowledge of workplace policies and procedures. Due to the nature of the position, a high degree of confidentiality is required when handling employee, financial, recruitment and executive information.
Position Description
- Coordinate and maintain office correspondence, records, files and documentation.
- Provide administrative support for Human Resources, Finance and Executive Office activities.
- Assist with recruitment and selection processes, including preparing interview packages, interview questions, candidate materials, assisting with reference checks and other related documentation.
- Coordinate and schedule interviews, including communicating with candidates and interview panel members regarding interview dates, times and locations.
- Prepare, organize and distribute materials required for interviews, competitions, meetings and other administrative processes.
- Maintain and organize confidential recruitment and employee documentation.
- Provide professional communication and administrative assistance to staff, leadership, candidates and external contacts.
- Answer telephone calls, receive visitors and direct inquiries as appropriate.
- Maintain confidentiality of Human Resources, financial, recruitment and executive information.
- Perform other related duties as assigned.
Qualifications
- Office Administration certificate/diploma or three to four years of related administrative/office experience.
- Typing speed of 45 words per minute.
- Proficiency with computers and common office software.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently, exercise initiative and manage multiple priorities.
- Ability to handle confidential and sensitive information with discretion.
- Previous experience providing administrative support for recruitment, interviews or scheduling would be considered an asset.
